Communication Request Timeline and Guidelines

Please plan to operate with the following timeline in mind when requesting communications for your ministry!

This is designed not to be hard and fast rules, but guidelines to ensure enough time for strategizing, collaboration, and the best possible deliverables!
Standalone Email
1 week

Bulletin/Sunday Email Request
Cut-off is the Wednesday prior to the first appearance of the announcement

Video Production
1 month

Graphic Production
Depends on the scale of the project, but ideally 2 weeks for single graphics, and 3-4 weeks for more involved graphics projects.

Event Photography Coverage
3-4 weeks

Social Media Post
1 week

Website Update
Please allow 48 hours for minor changes, for more involved updates, the Communications and Media Manager will connect with you individually on scope and timeline!

Church-wide or Congregation-Wide Events

  • 2-3 Months Out
  • (Christmas, Lent, Good Friday, and Easter Gatherings do not need the form filled out).

The timeline will vary based on the scale and intended outcome of the event! Ideally, the request form is filled out 2-3 months in advance to give our congregations at least a month’s notice for any congregation-wide or church-wide event.

After filling out the request form, the Communications and Media Manager will follow up with a Communication plan and timeline for collaboration and execution!

For Veritas sanctioned events here’s a sample Communications timeline (All of the following will not be necessary for every event):

Phase One: Launch (1-2 months out)
  • Standalone email announcement
  • Website Event Created
  • Mobile App Notification
  • Facebook Event Created
  • Begin appearing in Sunday Bulletin communications
  • Social media promo
Phase 2: Follow-Up (2-4 weeks out) 
  • Standalone follow-up email
  • Registration Created (if needed and it wasn’t already)
  • Volunteer Recruitment emphasized if needed
  • Share in congregation specific Facebook Group
Phase 3: Sprint (Week of)
  • Social Media feed posts and stories
  • App notification
  • Final standalone email
